At The Practice Space, we believe that a clear understanding of our policies helps create a supportive and mindful environment for everyone. Below, you'll find everything you need to know about our studio policies, membership details, and code of conduct—your one-stop guide to ensuring an enjoyable and respectful experience for all.

Code of Conduct

At The Practice Space, we prioritize our students' ability to focus on their mindful movement practice in a shared studio space. While we operate in a cozy studio with cement walls, working together to follow these guidelines will ensure that everyone can find success in their practice.

We ask all students to:

  • Arrive on time—early if possible—to settle in and get the most out of your dedicated practice. Classes start promptly, and the doors may be locked if you arrive late.

  • Remove shoes immediately upon entering the studio. Barefoot practice is encouraged.

  • Follow teacher instructions for mat orientation and placement to ensure adequate space and safety.

  • Turn off all electronics and store personal belongings in cubbies or lockers. No phones are allowed in the mat studio.

  • Avoid wearing strong perfumes or essential oils to ensure everyone can breathe unobstructed during practice.

  • Respect our no-tolerance policy for hate speech or any form of discriminatory behavior.

Return and Refund Policy

The Practice Space has a no-refund policy on all purchases. We encourage all students to be mindful of their commitments before booking classes, workshops, or memberships.

Liability Waiver

Participation in our yoga and Pilates classes and workshops involves physical exertion that may result in injury. By attending, you acknowledge and assume full responsibility for any risks, injuries, or damages incurred during practice. Please consult with your physician before participating if you have any concerns regarding your health.

Late Cancellation Fees & Rescheduling Policies

At The Practice Space, we understand that life can be unpredictable. To ensure the best experience for all students and instructors, we’ve established the following late cancellation and rescheduling policies.

All cancellations must be processed through your Mindbody account, which will automatically notify your instructor. We highly recommend downloading the Mindbody app to your smartphone to ensure clear communication and timely updates.

Important: Please do not use email or voicemail to cancel your sessions, as these methods may not reach your instructor in time. We appreciate your understanding and cooperation in helping us create a more reliable and supportive environment for everyone. Thank you for your commitment!

🚨 Policy Change Alert Coming in 2025: New 8-Hour Cancellation Policy for Mat Classes 🚨

To ensure accurate attendance, cut down on admin costs and encourage dedicated practice, we will start enforcing an 8-hour cancellation policy for all mat classes. If you cancel within 8 hours of your scheduled class, your class credit will be redeemed as if you had attended. For unlimited mat members, a late cancellation fee equal to 50% of the current drop-in rate will be charged to your account.

This change is designed to:

  • Encourage pre-registration so you can plan ahead and secure your spot.

  • Support a dedicated practice by fostering commitment to show up for yourself and your community.

  • Discourage last-minute cancellations and ensure that reserved spots are available for those ready to attend.

We kindly ask for your support in honoring this new policy, as it helps create a more organized and reliable studio experience for everyone. Thank you for your commitment!

Equipment Class Cancellation Policy:

We have an 8-hour cancellation policy for all equipment classes (Reformer or CoreAlign). If you cancel within 8 hours of your scheduled class, your class credit will be redeemed as if you had attended. For unlimited equipment members, a late cancellation fee equal to 50% of the current drop-in rate will be charged to your account.

Private and Specialist Sessions and Workshops Cancellation Policy:

To support our teaching staff and ensure a more efficient studio experience, we have a 24-hour cancellation policy for all private and specialist sessions as well as workshops. If you cancel within 24 hours of your scheduled class or session, your credit will be redeemed as if you had attended. If you need to cancel within the 24-hour window but want to avoid losing your session credit, you can request a reschedule for a 50% fee of the current drop-in rate. This will allow you to retain your session credit for future use.

This policy is designed to:

  • Provide our instructors with enough notice to adjust their schedules without losing income.

  • Encourage pre-planning and a commitment to your personalized sessions.

***We understand that these cancellation policies and fees may feel challenging at first, but they are designed to encourage accountability and support a dedicated practice. Most of the cancellations we encounter at the studio level are avoidable with clearer communication and planning. While we are always here to support you if something significant and truly unavoidable happens, it’s our observation that these situations are rare. Typically, cancellations arise from time management or shifting priorities.

It may feel like a tightening of the fist, but we see this as a gentle reminder that we are carving out time for you as a student, and in return, we ask for a little more commitment to each other. By honoring these policies, we can build a more reliable, supportive, and accountable community together. Thank you for your understanding and for being part of this shared journey!

Membership Policies

Perks of Being a Member:

  • 25% off all drop-in services, including private sessions.

  • 10% off retail items and props.

  • 25% discount on select workshops.

  • Exclusive ability to pre-register for future classes.

  • Guest passes for your friends and family.

Month-to-Month Membership:

  • Memberships are auto-debited every 28 days and are non-refundable.

  • No long-term commitment—just a commitment to yourself! You may cancel your auto-renew membership at any time by emailing hello@thepracticespace.com least 10 days before your next auto-renew date.

Missed Classes:

  • If you miss a weekly class or session, you may request a one-month extension for unused credits. After one month, credits expire.

Membership Suspension:

  • You can suspend your membership twice per year for up to 2 months. Suspension requests can be made by emailing hello@thepracticespace.com us at least 10 days before your next auto-renew date. During suspension, class booking is not allowed. Suspensions longer than 2 months will be treated as a cancellation.

Changing Your Membership:

  • Need to adjust your membership level? Upgrades or downgrades can be made by emailing hello@thepracticespace.com us at least 10 days before your next auto-renew date.

Membership Cancellation:

  • Cancellation requests must be submitted at least 10 days before your next auto-renew date. Unused classes or private sessions remain active for 1 month after cancellation. After that, they expire.

Late Cancellation Fees:

  • An additional late cancellation fee of 50% of the current class rate will be charged when unlimited members no-show or late cancel for any session. For weekly members, the credit used to book the class or session will be redeemed as if you had attended but there is no additional charge.

Rate Increases:

  • Active members are locked in at their membership rate, even during price changes your membership will never go up. However, if a membership is canceled, the previous rate will no longer be available if you rejoin with a new membership.

Inclement Weather Policy & Virtual Class Options

As we head into the winter season, we want to share how we’ll determine if the studio will close due to ice and snow. Safety comes first, and we’ll be making our decisions based on:

  • Official weather and road condition reports from the National Weather Service (NWS), Oregon Department of Transportation (ODOT), and Portland Bureau of Transportation (PBOT).

  • Public transportation updates: if Trimet is experiencing delays or closures, we know commuting will be difficult.

  • Local school closures: if Portland Public Schools and nearby districts are closing due to road conditions, we take that as a strong indicator.

  • Sidewalk and parking lot safety: we want to ensure that getting in and out of the studio is safe for everyone.

The Good News: We Can Move Together from Home!

If the studio needs to close, our amazing team is ready to bring classes online so you can keep moving safely from home. Many of our mat-based yoga and Pilates classes will shift to virtual sessions, and we’ll notify you of any schedule updates via email and social media.

No Stress, No Refunds Needed
Please note that memberships cannot be suspended or refunded for weather-related closures, but we’re committed to making sure you still get the movement and support you love: just in a cozier setting!

We’ll make closure announcements by the evening before or early morning when weather is a factor. Keep an eye on your inbox and social media for updates.
